Executive Administrator


JOB SUMMARY

The Executive Administrator will be a self-starter who is outgoing, organized, intuitive and efficient. He or she will provide

direct support to Simeone Deary Design Group’s owners and Chief Operating Officer. The Executive Administrator will take

the lead in coordinating meetings and appointments, managing extremely active calendars, booking domestic and international

travel and lodging for multiple individuals including the firm’s principals and associates and have the ability to multi-task in a fast-

paced environment. The ideal candidate will have the ability to exercise good judgment in a variety of situations including confidential

and sometimes personal matters and possess strong written and verbal communication skills, administrative and organizational skills,

and be able to maintain balance among multiple competing priorities.      

 

 

RESPONSIBILITIES

o Manage calendars of owners and COO
 

o Schedule client and office meetings, set location, time, and appropriate duration, identify, invite and confirm participants
 

o Coordinate client and office meetings (arrange catering, audio-visual and appropriate conference room set-up)
 

o Set up conference calls, Go To Meetings, Skye For Business, etc.
 

o Arrange domestic and international travel (air, hotel, limo, rental car, visa or passport processing)
 

o Prepare timesheets and expense reports on behalf of owners and COO
 

o Type and proofread documents (engagement letters, memos, reports, etc.)
 

o Draft acknowledgement and thank you letters, personal correspondence and other tasks that facilitate owner and

COO’s ability to effectively lead the organization
 

o Perform special projects and/or other administrative functions to support the business as assigned
 

o Ability to prioritize conflicting needs; handle all matters expeditiously, proactively, and follow through on projects,

tasks and assignments to successful completion, often with deadline pressures

 

o Intuitively provide assistance and support to ensure owner and COO’s ability effectively run and manage

the organization

 

o Serve as the primary point of contact for internal and external constituencies on all matters pertaining to

owners and COO

 

 

JOB REQUIREMENTS

o 5+ years of experience as an Executive Administrator supporting executives or related field

 

o Bachelor’s Degree preferred

 

o High-level prioritizing and multi-tasking

 

o Excellent written and verbal communication skills

 

o Proficiency in technical skills with Microsoft Office are required

 

o Photoshop and InDesign skills a plus

 

o Strong organizational skills

 

o Proficiency with online travel tools

 

o Demonstrated ability to prioritize

 

o Thrives in a fast-paced, rapidly changing environment
